Start with a repeatable task

A useful automation starts with a defined input, a bounded action and a way to judge the result. Examples include classifying enquiries, drafting a reply for approval or extracting fields from a document. We first check whether ordinary rules can solve the task reliably.

Separate generation from authority

An AI model can suggest text or identify a category. The business system should still enforce permissions, validate outputs and decide whether an action can proceed. High-impact changes need explicit approval and an audit trail.

Test with real examples and failure cases

We agree an evaluation set before release: normal inputs, ambiguous requests, missing information and attempts to redirect the workflow. The acceptance criteria should measure useful outcomes, not how impressive a single demonstration looks.

Plan for operation after launch

Provider costs, latency, retention settings, access controls and fallback behavior must be understood. We scope monitoring and human handoff so an unavailable model or malformed response does not halt the entire business process.

Questions, answered

Before we build.

Do you add a chatbot to every project?

No. AI can be more useful inside an existing form, search journey or staff workflow. The interface follows the task.

Can an agent make changes automatically?

Only within explicitly agreed permissions and validation rules. We scope human approval for actions that affect money, access or customer commitments.
